Template — have this reviewed

This policy describes what the software actually does, which makes it a solid starting point. It is not legal advice. Before you take real submissions, have a lawyer in your jurisdiction review it and fill in your legal entity name, address and data protection contact.

Who we are

DKGlobalSearch is a recruiting agency. We introduce candidates to firms that are hiring. For the personal data described here we act as a data controller. Contact us at [your data protection contact email].

What we collect

Depending on how you use the site:

  • If you apply for a role or join the talent pool: your name, email, phone number, location, links you give us (LinkedIn, portfolio, GitHub), your current and desired role, years of experience, salary expectations, work authorization, availability, any résumé you upload and the text extracted from it, and anything you write in a free-text field.
  • If you submit a hiring request: your name, work email, phone number, job title, your company name and website, and the details of the roles you are hiring for.
  • Automatically, for security: the IP address and browser user agent used to submit a form. We use these only to detect and block automated abuse.

Why we hold it, and on what basis

  • To match you to roles and represent you to employers — on the basis of the consent you give when you submit a form.
  • To respond to a hiring request — on the basis of our legitimate interest in answering an enquiry you sent us.
  • To send you relevant openings — only if you ticked the optional marketing box. You can withdraw that at any time.
  • To keep the site working and free of abuse — on the basis of our legitimate interest in security.

Who we share it with

We share your profile with a prospective employer only when we have asked you about that specific role and you have agreed. We never sell personal data.

We use these processors to run the service:

  • Supabase — database, file storage and authentication
  • Vercel — application hosting
  • Resend — transactional email
  • Cloudflare — bot protection on public forms

How long we keep it

Candidate profiles are retained for 24 months from your last contact with us. Every time you apply, update your details or reply to us, that window restarts. When it lapses we anonymize the record: your name, contact details and résumé are erased, and only non-identifying placement statistics remain.

Hiring requests from firms are kept for as long as we have a business relationship, and for six years afterwards where we need them for tax and contractual records.

Your rights

Depending on where you live you have the right to access a copy of your data, correct it, delete it, restrict or object to how we use it, port it elsewhere, and withdraw consent at any time. Exercising any of these will never cost you anything or count against you in a search.

The fastest route is the deletion request form. We action requests within 30 days and confirm by email. You also have the right to complain to your local data protection authority.

California residents

We do not sell or share personal information as those terms are defined by the CCPA/CPRA, and we do not use it for cross-context behavioural advertising. You have the right to know, delete and correct, and to not be discriminated against for exercising those rights — use the same form above.

Security

Data is encrypted in transit and at rest. Résumés live in private storage that is never publicly readable — our recruiters open them through short-lived signed links. Access to candidate records is restricted to authenticated staff and enforced at the database level, not only in the application.

Changes

If we change this policy we will update the version number at the top. Where the change is material and affects data you have already given us, we will email you.
